Each subscription is individual and linked to a specific email address.

  • Do NOT perform heavy operations (sync, export, bulk operations) while the document is syncing with SharePoint/OneDrive
  • Risk of data corruption: Simultaneous edits or sync conflicts can cause database inconsistencies
  • Best practice: Download the file locally, work offline, then upload when finished
  • Avoid: Real-time co-authoring with ENCLAWSED operations active

Recommended workflow:

  • One person works on ENCLAWSED operations at a time
  • Communicate before performing sync or export operations

Yes. ENCLAWSED can automatically split the annex compilation into multiple PDF files based on a maximum size limit you set.

No. ENCLAWSED only works on the desktop version of Microsoft Word (Windows or Mac) under a Microsoft 365 plan.

Word Online and mobile versions (smartphone, iPad) are not supported.

⚠️ Important: Use the Archive function instead of Delete. Archived items can be restored later, and archiving a document automatically archives all linked footnotes.

  1. Select text in your Word document
  2. Go to the Footnotes tab in ENCLAWSED
  3. Choose a document from the dropdown list
  4. Click "Add a footnote"

The add-in will:

  • Insert a footnote at your cursor
  • Save the selected text
  • Record paragraph number and heading context
  • Link it to the chosen document
  • Assign a sequential number

One footnote = one document reference.

No. Do not modify the content of ENCLAWSED footnotes directly in Word.

Each note contains a hidden reference used for JSON and bordereau generation. Editing it corrupts the reference.

To archive: Click the archive button next to the footnote in the Footnotes table. The footnote is removed from Word but remains recoverable in the database.

To restore: Enable "Display archived" in Settings, then click the restore button. ENCLAWSED will attempt to re-insert it at the original location.

⚠️ Do not manually delete footnotes in Word. Use the Archive function instead to maintain data integrity.

Sync button: If footnotes were manually deleted in Word, use the Sync button to clean up orphaned database records.

Delete it through ENCLAWSED and reinsert it properly.

Yes, you can change colors and typography.

Do not modify the internal content.

The JSON export contains all your ENCLAWSED data:

  • Complete list of documents with labels and positions
  • All footnotes with text, numbers, and document associations
  • Heading and paragraph context
  • Archive status and timestamps
  • Your custom settings and preferences

Uses:

  • Backup of your ENCLAWSED data
  • External processing or integration
  • Audit purposes
  • Transfer between systems
  1. Create documents in the Documents tab (one per annex/exhibit)
  2. Insert footnotes throughout your Word document, linking them to documents
  3. Use drag-and-drop to reorder documents as needed
  4. Toggle settings (show/hide columns, change document type label)
  5. Archive unused items instead of deleting them
  6. Export JSON when you need to backup or process data externally

⚠️ Critical: Work offline or avoid heavy operations if the document is syncing with SharePoint/OneDrive.

Adding a document:

  • Click the + button in the Documents tab
  • Give it a label (optional)
  • Drag to reorder if needed
  • Start linking footnotes to it

Archiving a document:

  • All linked footnotes are automatically archived (cascade)
  • The document is hidden from the active list
  • Enable "Display archived" in Settings to view and restore it later

No need to manually update anything — ENCLAWSED handles positioning and numbering automatically.

ENCLAWSED has three main tabs:

  1. Footnotes Tab: Create and manage footnotes linked to documents. View table with number, document, text, heading, and paragraph columns. Archive/restore footnotes.
  2. Documents Tab: Add, rename, reorder (drag-and-drop), and archive document references. View active and archived sections separately.
  3. Settings Tab: Configure document type label, toggle column visibility, display archived items, copy document ID, bulk restore by date, and permanently delete all data.

Key features:

  • All data auto-saves to cloud database
  • Unique document ID stored in Word custom properties
  • Smart archiving with cascade (archiving a document archives all its footnotes)

Troubleshooting & Best Practices

Make sure no notes were modified manually in Word.

Solution:

  1. Delete and reinsert any corrupted notes through ENCLAWSED
  2. Re-export JSON
  3. Regenerate

Ensure that the uploaded PDF matches exactly the JSON export.

Regenerate the final PDF if any modification was made afterward.

Either:

  • It was not inserted via a ENCLAWSED footnote, or
  • It was placed in a paragraph outside continuous numbering

Solution: Move the note to a numbered paragraph or reinsert it via ENCLAWSED.

Identification can go from 1 to 9999, or use mixed labels like A1–A999 for flexible organization.

There is no strict limit. The list adjusts automatically for readability.

Use short, clear, and dated titles.

The user remains solely responsible for the generated documents.

Data stored in our database:

  • Selected text snippets from footnotes (the text you highlight when inserting a reference)
  • Document labels/titles you assign to annexes

Not stored:

  • Full document content
  • PDF files (processed locally only)
  • Word files (remain on your device)

The JSON file contains only encrypted technical structuring data for bordereau generation.

No. All files (Word, PDF, annexes) are stored locally on your device.

ENCLAWSED does not upload or retain them.

Billing and payment data are managed exclusively by Microsoft via AppSource.

ENCLAWSED does not collect or store sensitive payment information.

No. The JSON file is:

  • Generated locally
  • Used only temporarily during PDF compilation
  • Never uploaded or kept after generation

Data processing is based on:

Desktop App - PDF Assembly

The ENCLAWSED desktop app is a PDF assembly tool that combines your Word document with all annex PDFs to create professional, court-ready PDF bundles.

It generates:

  • A complete main PDF with summary table (bordereau)
  • A documents PDF with all annexes, cover pages, and continuous pagination
  • Automatic splitting into multiple parts if size limits are exceeded

The app follows a simple 5-step workflow:

  1. Document: Import your main PDF (exported from Word)
  2. Data: Load your metadata JSON file
  3. Documents: Upload all annex PDF files
  4. Settings: Configure formatting and export options
  5. Generate: Create and download the final PDFs

Each step validates your data before allowing you to proceed.

Step 1: Export from Word

  • In Word, go to File → Save As → PDF
  • Save your document as PDF

Step 2: Import into desktop app

  • Click the upload area or drag and drop your PDF
  • Only PDF files are accepted
  • Once imported, the "Next" button becomes active

Important: Make sure your Word document includes all the main content and footnotes before exporting.

You have two options to import your data:

Option 1: Upload JSON File

  • Export the JSON file from the Word add-in (Settings tab → Export)
  • In the desktop app, click the upload area or drag and drop the JSON file

Option 2: Fetch from Server

  • In the desktop app, enter your Word document ID
  • Click "Import" to fetch the data directly from the cloud

The app will validate the JSON structure automatically and show an error if the file is invalid.

The desktop app uses intelligent filename matching to automatically assign PDF files to the correct documents:

How it works:

  • Compares document labels with uploaded filenames
  • Ignores case differences, accents, and punctuation
  • Uses a similarity threshold (default 85%) to find best matches
  • Flags files that cannot be matched for manual assignment

Customizable settings:

  • Ignore case: ✓ Enabled
  • Ignore accents: ✓ Enabled
  • Ignore punctuation: ✓ Enabled
  • Ignore numbers: ✗ Disabled
  • Similarity threshold: 85%

You can adjust these settings to improve matching accuracy.

Yes. You can use two upload methods:

Individual Upload: Click the "Upload" button next to each document to select its PDF file.

Bulk Upload: Upload multiple PDFs at once and let the automatch system assign them automatically.

A progress bar shows how many documents have been successfully matched (e.g., "15 / 20").

The desktop app offers comprehensive formatting options:

General Settings:

  • Client ID: Displayed at the top of each page
  • Max File Size: 10/15/20/25 MB (automatic splitting if exceeded)

Summary Sheet:

  • Document Type Prefix: 3-letter code (e.g., "ANN", "EXH")
  • Language: French, English, or Dutch for column headers
  • Custom Header: Title, Subtitle, User, Code

Cover Pages:

  • Title Template: Format for annex cover pages (e.g., "Annex 1", "Annex 2")

All settings are saved automatically for future sessions.

The app performs a detailed assembly process:

  1. Loads and validates the main PDF
  2. Generates a summary table from footnote data
  3. Adds the summary table to the end of the main PDF
  4. Processes each annex PDF with cover pages
  5. Adds client ID headers to all pages
  6. Calculates and adds sequential page numbers
  7. Adds document headers to identify each annex
  8. Splits PDFs if size limits are exceeded
  9. Prepares final files for download

A detailed progress bar shows the current operation (0% → 100%).

After generation, you'll download two types of files:

If PDFs fit within size limit:

  • Main.pdf: Your Word document + summary table
  • Documents.pdf: All annexes with cover pages and pagination

If PDFs exceed size limit:

  • Main-Part1.pdf, Main-Part2.pdf, etc.: Main document split into parts
  • Documents-Part1.pdf, Documents-Part2.pdf, etc.: Annexes split into parts

Page numbering remains continuous across all parts.

Yes. The entire app supports drag and drop:

  • Step 1: Drag your main PDF into the upload area
  • Step 2: Drag your JSON file into the upload area
  • Step 3: Drag multiple annex PDFs for bulk upload

This makes the workflow faster and more intuitive.

The desktop app uses automatic background updates:

  • Checks for updates when launched
  • Downloads new versions in the background
  • Notifies you when a new version is ready
  • You can choose to restart now or later

No manual update process required — the app stays up-to-date automatically.

You can choose the maximum file size per PDF:

  • 10 MB: Very Safe (compatible everywhere)
  • 15 MB: Good Compromise
  • 20 MB: Recommended (standard) ← Default
  • 25 MB: Maximum (Gmail/Yahoo limit)

If the combined PDF exceeds your chosen limit, it will be automatically split into multiple parts while maintaining continuous page numbering.

Yes. You can fully customize the summary table:

Language: Choose between French (FR), English (EN), or Dutch (NL) for column headers.

Document Prefix: Set a 3-letter code displayed before the index number (e.g., "ANN" for Annex).

Header Information:

  • Title: Main heading
  • Subtitle: Case description
  • User: Your name
  • Code: Reference or case code

The summary table is automatically added to the end of your main PDF.

You can go back at any time:

  • Click the "Back" button to return to previous steps
  • Modify your imports or settings
  • Re-upload files if needed
  • Each step re-validates your data

The app saves your progress, so you won't lose your work.

Mostly offline. The desktop app works locally:

Online required for:

  • Fetching data from server (Option 2 in Step 2)
  • Checking for updates

Offline works for:

  • Uploading local PDF and JSON files
  • Processing and generating PDFs
  • Downloading final files

All PDF processing happens on your computer — files never leave your device.

Automatic matching may fail if:

  • The filename is too different from the document label
  • The similarity falls below the threshold (85%)
  • Special characters or formatting prevent matching

Solutions:

  • Rename your PDF file to match the document label more closely
  • Lower the similarity threshold in automatch settings
  • Use manual upload for that specific document

All matching errors are flagged clearly in the interface.

No. The desktop app generates the final PDFs directly without preview.

However, each step validates your data to ensure the final output is correct.

Best practice: Double-check your settings in Step 4 before generating.
